Freight Dispatch Company
A custom dispatch management system for invoicing, carrier management and dispatcher pay
Industry: Freight dispatch and carrier management · System: a highly customized Foundation TMS build
At a glance
- One role-aware system replaced spreadsheets, email threads and manual invoicing.
- Dual-sided invoicing: carrier-to-broker invoices and dispatch-fee invoices to carriers, both generated automatically and kept in sync with the load.
- A POD/BOL gate: no delivered load moves to billing without its paperwork.
- Hosted online payment links on every invoice.
- Per-truck commission splits that drive dispatcher payroll automatically.
- A carrier portal and an executive dashboard, with access scoped by role at the database layer.
The customer
The customer is a freight dispatch company. It manages loads, trucks and driver assignments for a growing network of motor carriers. Its business depends on two kinds of money moving correctly on every load: what the broker owes the carrier, and what the carrier owes the dispatch company for dispatch.
The challenge: operational fragmentation
Dispatch is a business of small margins spread across hundreds of moving parts. Before its custom dispatch management system, each of those parts lived somewhere different:
- No single source of truth. Load details, broker contacts, rates and truck assignments were spread across spreadsheets and inboxes, with no shared history of who changed what.
- Revenue leaking on the back end. Delivered loads sat un-invoiced, rate changes never made it onto the invoice, and dispatch fees went uncollected.
- Compliance risk. Insurance certificates, authority documents and proof of delivery were tracked informally, with nothing enforced before billing.
- Opaque dispatcher economics. Commission varied by truck, but splits were calculated by hand each pay period, with no auditable record.
- No role separation. Owners, dispatchers and carriers each needed different slices of the same data, and nothing enforced those boundaries.
The solution: a custom dispatch management system
The dispatch company needed a system shaped around a dispatch company, not a broker and not a single fleet. Foundation built a custom dispatch management system as a highly customized build of the TMS. One operational core models every load from build to payment, every truck's economics and every user's view of the data.
1. Unified dispatch operations
- A fixed load lifecycle: Booked → Dispatched → In Transit → Delivered (Pending Paperwork) → Ready to Invoice → Invoiced → Paid.
- Structured load building: broker details, multi-stop routing, commodity and rate data, with mileage and rate-per-mile calculated automatically through integrated mapping. Saved locations auto-complete and keep addresses consistent.
- Document intelligence: uploaded broker rate confirmations are read automatically and pre-fill the load, removing repetitive data entry.
- Equipment and driver management: trucks, trailers and drivers carry their own documents and assignment history. A load can't be saved without an assigned truck.
- A full change log: every change to status, carrier, truck, rate, dates or route is recorded with the user, timestamp and field-level detail. Categorized, pinnable shipment notes sit alongside it.
- Personalized views: each user picks the columns and filters they work with (Load ID, dispatcher, carrier, route, miles, deadhead, rate, $/mile, status), and the setup is saved to their profile.
- A dispatch board, truck map view and Gantt-style truck schedule, plus a dashboard with diesel-price and spot-rate cards and an FMCSA carrier lookup.
2. Dual-sided automated invoicing
- Two invoice streams on every load: the carrier invoice to the broker (or the carrier's factoring company) for the linehaul, and the dispatch-fee invoice from the dispatch company to the carrier.
- Automatic generation: once POD/BOL is uploaded, the load moves to Ready to Invoice and a sequentially numbered invoice and branded PDF are created, with no manual assembly.
- An enforced document gate: delivered loads can't move to invoicing without an uploaded POD or BOL, which prevents rejected billing packets.
- Branded delivery: invoices go out from the company's own domain with the rate con, POD and BOL attached, and extra recipients can be added per send. Factored loads default to the factoring company as recipient.
- Online payment: every invoice carries a hosted payment page with card processing, so carriers can pay without an account or a phone call.
- Self-correcting totals: when a load rate or accessorial changes, linked invoices update automatically instead of drifting out of sync.
3. Carrier management and financial visibility
- A complete carrier profile: overview, business info, insurance, equipment and drivers, factoring, broker setup, load-board and portal credentials, custom sections, company documents and a carrier packet. The packet can be emailed to a broker in one click.
- A carrier portal: carriers log in to see their assigned loads, trucks, drivers and invoices, and to upload documents, which removes a large share of inbound calls.
- Per-truck commission splits: each truck carries its own dispatch fee (a percentage of the load rate or a flat amount) and can override the dispatcher's default split. When a load is marked Paid, the fee is captured and rolls into dispatch invoicing and payroll automatically, with paid-versus-unpaid reporting and dispatcher rankings.
- An executive dashboard: loads, revenue, dispatch fees, collected, outstanding, commissions, net margin and average days to pay. It includes a load-level operating table with filters and CSV export for accounting.
- Role-scoped access: org admins see the whole book, dispatchers see only their assigned trucks and carriers, and carriers see only their own data. This is enforced at the database layer with row-level security. Financial details such as ACH and factoring credentials sit behind stricter controls.
- Built-in help center with step-by-step guides, plus in-app support tickets.
Results
| Area | Before | After |
|---|---|---|
| Load tracking | Spreadsheets, texts and email threads | Real-time dispatch board |
| Invoicing | Built by hand, load by load | Auto-generated branded PDFs |
| Payment collection | Check chasing and manual follow-up | Hosted online pay links |
| Dispatcher pay | Hand-calculated commissions | Automated per-truck splits |
| Document compliance | Ad hoc, easily missed | POD/BOL gate before billing |
| Financial visibility | Reconstructed after the fact | Live executive dashboard |
- The gap between delivering freight and getting paid is closed. Every completed load produces an invoice automatically, with documentation attached and accurate totals.
- Fragmented spreadsheets and inboxes are replaced by one auditable system of record for loads, carriers, documents and money.
- Dispatcher economics are transparent, with per-truck commission rules and payroll that reconciles to invoiced revenue.
- Ownership has a live financial picture, and carriers have a self-service portal that reduced day-to-day support volume.
- The platform runs the business end to end and scales with new carriers and dispatchers without added administrative headcount.
What this means for your operation
If you run trucks (10–250 power units): the system is built around per-truck economics: truck and driver records with documents and assignment history, revenue and fees calculated per truck, payroll calculated per truck, and an executive view of every unit. Foundation Carrier gives fleets that same model, with dispatch, equipment, drivers, settlements and QuickBooks billing in one connected system.
If you're a broker: the same automation applies to your back office. A paperwork gate comes before billing, invoices generate themselves from the load and stay in sync when rates change, and every invoice carries a payment link and a full change log.
Build yours
Every Foundation customer gets its own fresh install, customized without limits, with no per-user, per-truck or per-load fees. Setup runs $2,500–$7,500, then $500–$1,500/month, priced by complexity and integrations. An ownership track and white label are available.
